This privacy notice sets out how Rivne State University of Humanities & Demont Apply – Online University Admission & Advisory System collects, uses and shares your personal information. It also gives you information about your privacy rights and how to exercise these.

Operating in Ukraine, in providing privacy information we’ve used the Law of Ukraine on Personal Data Protection №2297 on 01.06.2010. In order to fulfill the terms of the mentioned law all users and applicants voluntarily provide their consent to the processing of any personal data about them that became known as a result of legal relations. 

Rivne State University of Humanitiesacts as a user and Demont Apply – Online University Admission & Advisory System (further – Demont Apply) acts as an admin of the system, providing the applicants with the opportunity to interact directly with the university and providing a number of related services. In such situations, the admin of the system should be your first point of call for any data protection related queries.

We regularly review this privacy notice and may update it to make improvements or to reflect regulatory changes. We encourage you to check it from time to time. If we make any significant changes, we’ll endeavor to notify you. Please also remember when using our website if you click on a link to go to another organization’s website this privacy notice will no longer apply.

The personal information we collect and use.

To provide the admission & advisor services we need to collect and handle personal detail about you. We collect information about enquirers, visitors to our website and platforms, applicants. The nature of the personal information we hold about you will depend on our relationship with you.

You may give us personal information when filling in online enquiry, over the telephone, by email or in person. You may also give us information when you engage with us on social media, complete an application form or raise queries regarding study process and related to it questions.

In order to obtain the necessary information from you to organized the university admission process, we collect the following personal data from you:

Identity Data – your name & surname, date of birth, gender, photograph, citizenship, marital status, passport information, residency;

Contact Data – contact details: postal and e-mail address, phone number;

Education Data – the name, place of previous education institution and level of study;

Financial Data – financial information related to tuition fee and other related services, as well as transaction data, including details of payments made to from you;

Preference Data – your preferences in relation to higher education institution, its study program and admission requirements.

Marketing and Communication Data – your marketing preferences in receiving promotional message from us;

More sensitive Data – we may in specific circumstances collect personal information which is considered more sensitive under data protection laws. For example, information relating to your health and/or any disability you may have or your religious views or ethnic origin. This is so we can assess your study process, accommodation needs and make sure any service is offer meets your requirements.

For the above purposes we routinely rely on the lawful basis of performance of a contract (including necessary steps before entering into a contract).  

For the above purposes we rely on the lawful basis of legitimate interests, where we have assessed this to be necessary for our business operations, and where we’ve also assessed such activity doesn’t negatively impact on your rights and freedoms.

How we keep personal data secure.

Demont Apply makes sure any personal information you provide to us is securely stored on our systems and servers and that any paper-based records of your personal information will be stored and destroyed in accordance with our data retention policies and procedures. We treat data security with the utmost seriousness and take appropriate measures to implement industry-leading standards to protect your personal information. 

Demont Apply further ensures that only relevant members of staff have access to your personal information. This is achieved by our Data Access Policy which provides that your personal information will only be available to relevant members of staff who have a legitimate reason for accessing your personal information.

How long we keep your personal information for.

Demont Apply will keep your personal details for as long as is necessary for the reasons we are using them for. How long, varies depending on our relationship with you, and any legal obligations which may dictate the length of time your personal information is kept. We use the following criteria to establish retention periods, and then securely dispose of personal information when no longer required.

Your privacy rights.

You have a number of privacy rights, provided under the law of Ukraine on Personal Data Protection №2297 on 01.06.2010. These are listed below:

  • Right to be informed: You have the right to be informed about how we handle your personal information. This privacy notice is one of the ways we endeavor to fulfil this right.
  • Right of Access: You have the right to ask for a copy of the personal data we hold about you and the purposes for which we are using it. ‘Personal data’ is any information which can directly, or indirectly, identify you.
  • Right to Rectification: You have the right to ask us to change any details which are incorrect or need updating.
  • Right of Erasure: You have the right to ask us to delete your personal details. Please note this not an absolute right, and there may be circumstances in which we can justifiably decline a request.
  • Right to Object: You have the absolute right to object to receiving direct marketing from us. You also have the right to raise an objection about how we are handling your personal information in certain circumstances.
  • Right of Restriction: This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.
  • Right to Portability: You have the right to obtain and reuse your personal information across different services. This right allows you to request that we move, copy or transfer your personal information easily from our systems to another organization’s systems, or directly to you.

To fulfil certain requests and depending on our relationship with you, we may need to ask you for proof of identity. We’ll handle any requests as soon as possible, at least within one calendar month. In some circumstances we may need to extend the timescale for our responses to the right of access. Please also note our obligations to fulfil the above rights may be subject to certain exemptions.

If you’re concerned about the way in which we have collected and used your personal information, please contact us and we’ll do our best to resolve this with you. If you remain dissatisfied with how we have processed your personal data, you have the right to file a complaint with the Commissioner for Human Rights of the Verkhovna Rada of Ukraine, who is entrusted with monitoring compliance with legislation in this area, as well as with the State Service of Ukraine for Personal Data Protection, which is the central executive body that ensures the implementation of state policy in the field of personal data protection.

LEGAL STRUCTURE OF ELECTRONIC INVITATION TO STUDY PROVISION

From April 1, 2025, foreigners and stateless persons who have chosen a higher educational institution in Ukraine for their further studies must, first of all, register in the Unified Interdepartmental Informational System (hereinafter – Unified System) to receive an electronic invitation to study.

The Unified System for digital admission in Ukraine was created with the support of the European Union, specifically through the DT4UA and EU4DigitalUA projects implemented by the e-Governance Academy. The administrator of this system is the Ministry of Education and Science of Ukraine through the Ukrainian Center for International Education, as the official government source of information about studying in Ukraine for international students.

The electronic invitation is obtained by creating an applicant's electronic cabinet in the Unified System following by the link: https://apply.studyinukraine.gov.ua/, further to provide personal data, selected educational institution, program, level of education and submit the good quality scans of required documents. The invitation received is a kind of "visa" for the applicant to begin the process, because the Unified system integrates with key government agencies like the Security Service of Ukraine, the State Border Guard Service, and the Ministry of Foreign Affairs, enhancing transparency and security.

The cost of creating an application in the electronic cabinet of the Unified System is UAH 3100 per application (approximately USD 74). An international applicant can submit up to 20 applications to Ukrainian higher education institutions.

The invitation procedure consists of few steps:

1. The documents undergo a validation procedure by the Admissions Committee of the higher education institution, as a result of which you will be sent an «Educational Offer» for confirmation. It contains information about the conditions for entering a profession, educational program, validity period of the certificate of accreditation of the educational program, form of obtaining education, basis for admission, duration of study, forms of entrance exams, cost of training, licensed scope, date of commencement of training.On this step the international applicant can confirm or reject the educational offer.

2. The final step includes verification of your data by central executive authorities and provision of electronic invitation to study.

Applying to the University using the Demont Apply System is an alternative method. The admin of this system is an official partner of the University and operates within the framework of a contractual relationship.
